Uber Business Policy
This policy outlines guidelines for using Uber for business related travel to ensure proper use, cost efficiency, and compliance with company expense policies.
1. Purpose
This policy establishes clear guidelines for employees using Uber for business related travel.
2. Eligibility
Authorised employees may use Uber for:
- Business travel
- Client meetings
- Other work related purposes
3. Acceptable Uses
Approved business purposes include:
- Transportation to/from approved meetings and conferences
- Airport transportation for work travel
- Late-night/early morning transportation when public transit is unavailable
- Management approved business travel
4. Unacceptable Uses
Uber should not be used for:
- Personal errands
- Regular commuting (unless pre-approved)
- Non-work social events
- Excessive travel outside company policies
5. Booking and Payment
- Use company's Uber for Business account when available
- Book using personal account only if company account unavailable
- XeroMe expense claim required with receipt for reimbursement (see below)
- Select most economical option (typically UberX)
- Use UberXL only for groups of 4+ employees
- Avoid surge pricing when possible
6. Expense Reimbursement
All reimbursement requests must include:
- Business justification for each ride
- Receipts
- Compliance with company expense policies
