Welcome to InvestorKit's guide on using Navan, your travel management platform. This guide walks you through everything you need to know about setting up your profile, booking travel, managing your bookings, and getting support. Whether you're a first-time user or need a quick refresher, you'll find step-by-step instructions to help you navigate Navan efficiently.

Please note that all bookings and changes must be coordinated with the operations team to ensure smooth travel arrangements.

How to set-up your Navan profile.

  1. You will receive an invite link to join Navan.
  1. Ensure that your name, phone number, and email address are entered correctly.
  1. Important: Enter your details exactly as they appear on your government ID.
      • Note: If your surname contains an apostrophe (e.g., O'Connor), omit it when entering your name.
  1. Add any loyalty programs that you have to your profile.
  1. Sync your Navan profile to your calendar for automatic calendar syncing.
  1. Adjust notification settings to your preference.
  1. Navan Rewards: Earn rewards by booking a hotel below the optimal price and redeem them for future travel.

How to book a flight and hotel

  1. Receive Invitation: You'll get an email invite with all the details: flight times, price limits, hotel options, event dates, and timings.
  1. Search for Flights: Use the info provided to find departing and return flights that follow the policy.
  1. Filter Options: The dashboard lets you filter flights by stops, price, and airline.
  1. Select & Book Flight: Choose a flight that meets your needs and the policy, and pay with the corporate card.
  1. Confirmation: You and the operations team will get a confirmation email after booking.
  1. Add Hotel (If Included): If the hotel is part of the policy, add it on. Filter by price and hotel, and pay with the corporate card.

How to Cancel or change a booking

  1. Before taking action on any cancellations or changes, please notify the operations team.
  1. Changing Flights:
    1. a.  Locate your booked flight.

      b.  Select the flight you wish to change.

      c.  Choose your desired new date and time. Note that a change fee will apply.

      d.  Before taking action, please notify the operations team.

  1. Cancelling Flights:
    1. a.  Select the flight you wish to cancel.

      b.  Confirm the cancellation.

Key Point: Always inform the operations team before cancelling or changing a flight.

How to get support

To contact support, go to your profile, click the message icon, and answer the initial AI questions. You will then be connected to a live agent.


Booking Status - Flights

  • Confirmed: The reservation has been successfully booked and accepted by the airline. Payment for this reservation may or may not have been processed.
  • Ticketed: The reservation has been successfully ticketed, and the payment will be processed (if not done already). Ticketing typically occurs within a few hours of a confirmed booking.
  • Canceled: The reservation has been canceled. Depending on the rules of the ticket, a refund or credit may be issued by the airline.
  • Voided: The reservation was ticketed but canceled within the void window (payment was not charged). Typically, the void window for the U.S. point of sale begins at the time of ticketing and ends at the end of the next business day. The void window for all global points of sale starts at the time of ticketing and ends at the end of day of ticketing. The void window may vary for low-cost airline carriers.
  • Refunded: A refund request for this reservation has been sent for processing. Refund amounts are calculated based on fare rules and may be fully refunded, partially refunded, or issued as a credit toward future travel.
